Main Objective: 

The purpose is to provide an incentive for suppliers to ensure increased longevity of their products and to assure that they will take responsibility for repairing any defects.

Requirement Specification: 

Notebooks shall have a 3-year warranty from delivery, and this shall be included in the product price. The warranty requires that the products comply with the contract’s specifications (i.e. without faults or deficiencies) at no extra cost for the entire warranty period.

Warranty repairs shall take place [at the location where the notebook is located when the fault was reported]. Work shall commence during normal working hours no later than [next business day / [X] days after the fault was reported. Warranty repairs shall be free of charge for the contracting authority and include all costs (including travel costs). 

Documentation of the Requirement Specification: 

Suppliers shall confirm that the requirement is met.

Information about the Requirement Specification: 

According to several leading brand owner, 3 years is regarded as standard warranty period for notebooks in the Nordic countries.

The contracting authority should consider the cost/benefit of maximum uptime (that repairs of computers, monitors and tablets shall be started the day after the fault is reported, and at the location the fault was reported) against costs and greenhouse gas emissions by having the supplier attend the workplace within 24 hours from reporting a fault.

The need for maximum uptime could also be satisfied in other ways. Some contracting authorities choose to have spare equipment for loan in reserve. The supplier and contracting authority should be able to agree on longer repair times for locations with poor accessibility.

Requirements regarding service level agreement concerning repairs and replacement uncovered by the warranty are not included here and must be made separately.

Notebooks shall have a 5-year warranty from delivery, and this shall be included in the product price. The warranty requires that the products comply with the contract’s specifications (i.e. without faults or deficiencies) at no extra cost for the entire warranty period.

Warranty repairs shall take place [at the location where the notebook is located when the fault was reported]. Work shall commence during normal working hours no later than [next business day / [X] days after the fault was reported. Warranty repairs shall be free of charge for the contracting authority and include all costs (including travel costs).

By requesting a longer warranty period than what is standard, the price per unit will also increase because the supplier will include a greater risk of faults, etc. On the other hand, a longer warranty and higher quality can result in a reduced need to buy new IT-equipment.
