Main Objective: 

The main purpose of this contractual condition is to create a data basis for measuring the agreement’s high-risk products and carbon footprint. The data can be used to identify higher risk products, as well as to illustrate the environmental gains in the agreement, in contractual follow-up, and as a basis for future competitions.

Requirement Specification: 

During the contract period, suppliers are obligated to compile statistics for the following areas at no additional cost to the contracting authority:

  • Product and item category
  • Country of origin
  • Producer
  • Products with special properties (for example, labelling schemes for socially responsible production, organic products, vegetarian products)
  • This list is not exhaustive and the procurer himself must assess which of the items are relevant to this agreement, and if any others should be included.

It shall be possible to break down the data, so that the contract manager can obtain an overview of the order patterns for the various units encompassed by the agreement. The statistics shall be sent without solicitation to the contracting authority by the deadlines set, and they shall be delivered X times a year. The first delivery shall take place Y months after start-up (contracting authority determines this).

Information about the Requirement Specification: 

This requirement should be used in combination with requirements for products with special properties, such as organic or vegetarian, and requirements for social responsibility. The data suppliers provide may/shall be used to follow up on the specific requirements you have stipulated in the tender documentation.

In addition, the data is useful for visualising the agreement’s strategic value to managers and key people in your enterprise. For example, it can be used to show how the contracting authority is doing with respect to achieving the goal of X% consumption of organic products, or the goal to reduce its carbon footprint by increasing the consumption of vegetarian food.

The contracting authority must assess how often and which numbers should be delivered.

It may be challenging for certain suppliers to document and disclose the carbon footprint of their products. This means that the contracting authority should conduct a market survey and supplier dialogue in advance. Such dialogue may also identify whether there are certain products for which it is very difficult to map the carbon footprint, which may therefore be excluded from the contractual condition.
